Wedding guest photographs can be impossible to recreate. Once the celebration has finished and everybody has uploaded their files, the couple needs a reliable backup plan rather than leaving the only copies inside a temporary gallery, phone or computer folder.
A safe backup process does not need to be complicated. The important principles are to download everything before expiry, verify that the files work and keep more than one copy in genuinely separate locations.
Download the collection before the final day
Do not wait until the gallery is about to expire. Request the complete download early enough to resolve any issue with the email address, archive link, internet connection or available storage space.
Large galleries may need to be prepared as a ZIP archive in the background. The couple can close the browser while the server collects the photographs and videos, then use a protected link sent to the main account email.

Verify the downloaded archive
A successful download notification does not automatically prove that every file is usable. Extract the ZIP archive rather than leaving it unopened in the downloads folder.
Check the following:
- the archive opens without an error;
- the expected folders and files are present;
- a selection of photographs opens correctly;
- videos play with sound;
- file sizes look reasonable;
- the total number of files broadly matches the gallery;
- there is enough storage space for additional backup copies.
Check files from the beginning, middle and end of the archive. This is more useful than opening only the first few photographs.
Keep one untouched master copy
Create a master folder containing the downloaded files exactly as received. Do not rename, edit, resize or delete anything inside this copy.
You can create a second working folder for organising photographs into sections such as ceremony, speeches and evening reception. Keeping the untouched master protects you from accidental edits or deletions.

Use the 3-2-1 backup principle
A widely used backup principle is:
- keep at least three copies of the files;
- use at least two different types of storage;
- keep at least one copy away from the main location.
For a wedding gallery, this could mean:
- a copy on the main computer;
- a copy on an external drive;
- a copy in reputable cloud storage.
The copies should not all remain plugged into the same computer. Malware, electrical damage, theft or accidental deletion could affect several connected copies at once.
External drives
An external hard drive or solid-state drive can store a large collection without depending on an internet connection. Label the drive clearly and keep it somewhere dry, secure and away from extreme temperatures.
Do not assume that an external drive will last forever. Connect it periodically, check that it is still recognised and open a selection of files.
A drive permanently attached to the computer is convenient, but it may also be affected by the same electrical event, malware or accidental deletion. Disconnect at least one backup after it has been verified.
Cloud storage
Cloud storage gives the couple an off-site copy that is not kept in the same building as the computer and external drive.
Choose a service with:
- strong account security;
- two-step verification;
- clear storage limits;
- version history or deleted-file recovery;
- support for the required photograph and video sizes;
- a download process you have tested.
Cloud synchronisation is useful, but it is not automatically the same as a backup. If deleting a local file also removes the cloud copy immediately, another independent copy is still essential.
Protect the accounts used for backup
Use a unique password for the couple gallery, email account and cloud storage service. Enable two-step verification wherever it is available.
The account email matters because secure download links and expiry reminders may be delivered there. Make sure both partners know which email account was used and how to access it.
Preserve original filenames and metadata
Original files may contain useful dates, device details and other metadata. Editing or exporting files through social applications can remove some of this information.
Keep the original downloaded versions even if you later rename copies or create edited favourites. Avoid converting every file into a new format unless there is a clear reason.
Back up videos carefully
Videos usually consume more storage than photographs and may be easier to overlook. Check that they play from every backup location and that sound is present.
Do not rely only on a social-media upload as the permanent copy. Platforms may process, compress or remove content later.

Review the backups regularly
A backup is not a one-time promise. Storage devices fail, subscriptions expire and accounts become inaccessible.
Set a reminder every six or twelve months to:
- check that drives are recognised;
- open several photographs and videos;
- confirm cloud account access;
- review available storage space;
- replace any drive showing errors;
- update account recovery information.
