A wedding guest gallery can contain hundreds of photographs and videos from many different phones. Downloading files one at a time is manageable for a small collection, but it becomes slow and unreliable as the gallery grows.
A complete server-prepared ZIP archive gives the couple one secure download containing the full event collection. The browser does not need to remain open while the server gathers and compresses the files.
Why large galleries need a prepared export
A browser can download individual files directly, but asking it to start hundreds of downloads creates several problems:
- the browser may block repeated downloads;
- the user may be asked to approve every file;
- the session may fail partway through;
- it becomes difficult to know which files are missing;
- videos can take much longer than photographs;
- the browser tab must often remain open;
- files may be saved into an untidy downloads folder.
A queued export moves this work to the server. The couple submits one request, the server prepares the archive and an email is sent when the secure file is ready.
Confirm the account email first
The export link should be delivered only to the main email address registered on the couple account. Before requesting the ZIP, confirm that:
- the email address is spelled correctly;
- you can access the inbox;
- messages from WedSnap are not being filtered as junk;
- both partners know which address is being used;
- the mailbox has not been closed or replaced since registration.
The confirmation screen should explain which address will receive the download without exposing unnecessary account information.
What happens after requesting the download
The server creates a queue record rather than compressing every file during the initial page request. A private worker processes queued exports separately.
The process normally includes:
- confirming that the event belongs to the logged-in couple;
- collecting the current upload records;
- checking that each stored file is available;
- building the ZIP archive in private storage;
- creating a secure random download token;
- emailing the protected link to the account holder;
- recording when the export expires or is removed.
The preparation page should immediately disable the request button and display visible progress feedback. This prevents repeated clicking and duplicate queue requests.
Why the download link needs a secure token
The prepared archive should not be saved under a predictable public filename. A long random token makes the link impractical to guess.
The download endpoint should also verify:
- that the token exists;
- that the export completed successfully;
- that the link has not expired;
- that the private archive still exists;
- that repeated or unauthorised access is handled safely.
Prepared ZIP files should remain outside the public website directory wherever possible.
How long preparation takes
Preparation time depends on the number and size of files, available server resources and whether the collection contains large videos.
The couple should not be told that the archive is ready until the worker has finished successfully. The email should contain a clear button, expiry information and instructions to download the archive to a device with enough free storage.
Downloading the ZIP archive
Use a reliable internet connection and avoid downloading a large archive over limited mobile data. Confirm that the device has more free space than the stated ZIP size because additional space is required when extracting it.
Save the archive somewhere easy to identify rather than leaving it mixed with unrelated downloads. A sensible name includes the wedding or event name and date.
Extract and verify the download
Do not treat the unopened ZIP as the final archive. Extract it and inspect the contents.
Check:
- the extraction completes without warnings;
- photographs open normally;
- videos play with sound;
- portrait and landscape files are both present;
- the collection includes early and late uploads;
- the file total broadly matches expectations.
If the archive appears incomplete, do not delete the downloaded ZIP or allow the gallery to expire while investigating.
What to do after the download
Create permanent backups immediately. Keep one untouched master copy and duplicate it to at least one external drive and one secure off-site location.
Read how to back up wedding guest photographs safely before editing or reorganising files.
You can then use our organisation guide to create folders for the ceremony, speeches, reception and evening celebration.
Individual downloads are still useful
A complete export is ideal for final archiving, while individual downloads remain useful when the couple wants to save or share one particular photograph immediately.
| Individual download | Complete ZIP export |
|---|---|
| Best for one or two selected files | Best for the complete gallery |
| Starts directly in the browser | Prepared by a background worker |
| No archive extraction needed | Keeps many files together |
| Not practical for hundreds of files | Suitable for large collections |
Frequently asked questions
Answers about preparing and downloading a complete wedding guest gallery.
Do I need to keep the browser open while the ZIP is prepared?
No. A queued server export can continue preparing the archive after the confirmation request has completed. The account holder receives an email when the file is ready.
Why is the complete gallery sent by email?
Email confirms the registered account destination and allows the server to deliver a protected download link after background preparation finishes.
Can I download individual photographs as well?
Yes. Individual downloads remain useful for selected files, while the ZIP export is designed for collecting the complete gallery efficiently.
Should I keep the ZIP file after extracting it?
Keep it until you have verified the extracted files and created permanent backups. Afterwards, it may remain as an additional archive copy if stored securely.
Prepare the final collection without relying on a long browser session
WedSnap allows couples to request a complete gallery archive while larger files are handled privately in the background. The finished secure link is sent to the registered email address.
